The EUCAS 2013 exhibition gives companies a valuable opportunity to show their products and to have a direct interaction with researchers and engineers from industry, universities, and both private and government laboratories, who are involved in making and/or influencing purchasing decisions for their companies and institutions.


We expect an attendance of more than 600 scientists and engineers from all over the world.

The Industrial Exhibition will start on Monday afternoon, September 16th, and last until Wednesday evening, September 18th.

In order to have a deeper interaction between participants and exhibitors, the coffee breaks will also take place in the exhibition areas. All registered Exhibitors will be listed in the Conference Program. A link to their websites will be provided from the EUCAS 2013 website shortly after they have submitted their payments.

We would like to encourage you to register as soon as possible, since the number of available exhibition booths is limited and their allocation will be made on a “first come – first served” basis. The deadline for the application is June 28th 2013. For registration confirmation, payment is mandatory before July 15th 2013.

4 – Displaying corner* € 600 VAT excluded
 Additional company representative  ** € 400 

* The displaying corner is proposed to whom cannot attend EUCAS2013: advertising materials sent by the company will be displayed on an individually dedicated desk.

** Additional company representative can be registered at the reduced fee reported in the table above, and is entitled to attend the conference sessions and the social events. The exhibition fee (except displaying corner option) includes the full registration of 1 company representative/module.

Payment Regulations and instructions

Registration and payment
The deadline for the exhibit registration is June 28th 2013 The deadline for payment is July 15th 2013.

The Exhibitor registration fee includes the provision of one booth and the conference registration of one representative of the firm per module, entitled to participate in all sessions and social events. Further representatives (up to 2) are allowed to participate upon payment of the reduced fee.

All registered exhibitors will be listed in the Final Conference Announcement, including the Conference Program/Abstract Booklet. A link to their websites will be inserted in the EUCAS 2013 website shortly after they have submitted their registration payments.

Cancellation policy
Cancellation has to be made in writing, and addressed to the EUCAS 2013 Exhibition Secretariat.
Any cancellation submitted before August 10th will be honored by a refund of 70% of the total Exhibitor fee.
No refund will be made after this date.

 

Exhibition Timetable and Service Kit

The EUCAS 2013 Industrial Exhibition will start on Monday afternoon, September 16th, and last until Wednesday evening, September 18th, according to the following timetable:

Booth set-up and dismantling
Set-up:   Monday  8:30 – 12:30
Dismantling: Thursday 8:30 – 12:30
Opening hours:
Monday           12.30 - 19
Tuesday            8.30 - 19
Wednesday       8.30 - 19

Equipment
Single booth includes 1 table, 3 chairs, waste basket, 1 spot-light, 400 W electric supply, 1 panel with the company name. Double booth includes 2 tables, 4 chairs, waste basket, 2 spot-lights, 400 W electric supply, 1 panel with the company name.

Optional exhibition furniture is available on demand (click here for a complete list of the items). The request has to be made by June 28th.
The exhibitors will be responsible for damages to the booth during the event.
The use of nails or other permanent fastenings is forbidden, in order to avoid damages to the booth. Double adhesive band or stronger fasteners will be available during the exhibition by the exhibition secretariat.

Exhibition Rules and Regulations

Safety
The use of dangerous material or flammable fluids is forbidden. Please indicate if the use of Liquid Nitrogen is envisaged.
Exhibitors are not permitted to use power tools (electric drills, power saws, etc.) on booths.
Electrical installation is exclusively managed by Magazzini del Cotone. Electric devices must be safe and conform to law.

Load Limit
Exhibit floor weight-bearing capacity is 300 kg/m2. This is an absolute limit and no exceptions will be made.
Maximum height is 2.50 m
Exhibitors agree to arrange their exhibits so as not to obstruct the general view nor hide other exhibits. All the exhibition material must be included in the booth area.  Exhibitors may not project beyond the space allotted and aisles must be kept clear of traffic.

Material handling
Exhibitors may also handle their own freight provided the material can be hand carried to and from the booth via accepted fright entrances, or if transport of large items can be done using two wheeled hand trucks of four-wheeled mover-type dollies provided by the exhibitor.
Handling vehicles used indoors must comply with the following regulations:
-  trolleys used indoor must have rubber wheels. Use of trolleys with wheels made of metal, Teflon or other similar materials is therefore forbidden;
-  use of fork-lift trucks, transpallets or other handling machines within the congress facility must be cleared in advance by the Congress Management Office, which may give authorization having verified the suitability of the equipment.

Restrictions
No materials may be posted, nailed or otherwise affixed to walls, doors or other surfaces in a way that might deface the premises or booth equipment and furniture.
Painting and other treatment of materials is forbidden without prior authorization.

Exhibitor agrees not to sponsor group functions that conflict with any official Conference program, except as approved by Management.

Insurance
The congress center and the conference organization will not be responsible for the exhibitor material and/or rented materials.
The exhibitor is required to subscribe a private insurance for the duration of the show.
